Event Design App, LLC (“Event Design App,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, and protect information when you visit our website, create an account, request a demo, or use our event design and visualization platform (collectively, the “Services”).

By accessing or using the Services, you agree to this Privacy Policy. If you do not agree, please do not use the Services. This Privacy Policy should be read together with our Terms of Service.

1. Information We Collect

Information you provide directly

Depending on how you interact with us, we may collect:

  • Contact and account information — such as your name, email address, company name, phone number, job title, and password when you create an account, request a demo, or contact us.
  • Billing information — such as payment card details, billing address, and transaction history. Payments are processed by Stripe; we do not store full payment card numbers on our servers.
  • Business and event content — including photos, videos, floor plans, venue descriptions, inventory data, logos, designs, quotes, and other materials you upload or create in the Services (“Customer Content”).
  • Communications — including messages you send to us for support, sales, or feedback.

Information collected automatically

When you visit our website or use the Services, we may automatically collect:

  • Device and usage data — such as IP address, browser type, operating system, device identifiers, pages viewed, links clicked, referring URLs, session duration, and feature usage.
  • Log and diagnostic data — such as error reports, performance metrics, and security logs.
  • Cookie and similar technologies data — as described in Section 6 below.

Information from third parties

We may receive information from service providers and integration partners, such as authentication providers, analytics providers, CRM and marketing platforms, payment processors, and mapping or imagery providers you choose to connect to the Services.

2. How We Use Information

We use the information we collect to:

  • Provide, operate, maintain, and improve the Services;
  • Process account creation, subscriptions, payments, and related service requests;
  • Generate 3D models, visualizations, floor plans, quotes, and other outputs from Customer Content using our software and AI tools;
  • Communicate with you about the Services, including service announcements, security alerts, and support responses;
  • Send marketing communications and display retargeting or interest-based advertisements where permitted by law and subject to your preferences;
  • Monitor usage, troubleshoot issues, prevent fraud and abuse, and enforce our Terms of Service;
  • Analyze trends and usage in aggregate or de-identified form to improve our products and develop new features;
  • Comply with legal obligations and protect our rights and the rights of others.

3. AI Processing and Generated Content

The Services use automated and AI-assisted technologies to process Customer Content, including venue photos, videos, and related data, to generate 3D models, renderings, layouts, and other visual outputs. By using the Services and uploading Customer Content, you acknowledge that:

  • Your Customer Content will be processed by our systems and, where applicable, subprocessors that provide cloud computing, AI, or rendering services;
  • Generated 3D models and images may be used by us to operate, improve, and support the Services, consistent with our Terms of Service;
  • You are responsible for ensuring you have the rights to upload Customer Content, including venue images and third-party logos or materials.

4. How We Share Information

We do not sell your personal information for money. We may share information in the following circumstances:

  • Service providers — with vendors who help us operate the Services. Our key service providers include:
  • Stripe — payment processing and billing;
  • HubSpot — CRM and marketing communications;
  • Google Analytics — website usage and performance analytics;
  • Cloud hosting and infrastructure providers — application hosting, storage, and security;
  • AI and rendering providers — cloud computing and model generation for 3D visualization features;
  • Advertising partners — platforms that help us measure and deliver retargeting or interest-based ads to website visitors.

These providers are authorized to use information only as needed to perform services for us, subject to their own privacy policies.

  • Integration partners — including Rentopian, a separate company that may be integrated with the Services to support inventory, quoting, or related business workflows when you choose to connect or use those features. Information shared with Rentopian is governed by Rentopian’s own privacy policy for its services.
  • Third-party integrations you enable — when you choose to connect the Services to external tools or export data to third-party platforms.
  • Legal and safety purposes — when required by law, regulation, legal process, or governmental request, or when we believe disclosure is necessary to protect rights, safety, and security.
  • Business transfers — in connection with a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, subject to appropriate confidentiality protections.
  • Aggregated or de-identified data — we may share information that does not reasonably identify you for analytics, research, or business purposes.

5. Data Retention

We retain personal information for as long as necessary to provide the Services, fulfill the purposes described in this Privacy Policy, comply with legal obligations, resolve disputes, and enforce our agreements. Retention periods may vary based on the type of information and how it is used. When information is no longer needed, we will delete, anonymize, or securely store it in accordance with our retention practices.

6. Cookies, Analytics, and Advertising

We and our service providers use cookies, pixels, tags, and similar technologies to operate the website, remember preferences, measure traffic and engagement, understand how visitors use the Services, and deliver or measure advertising.

We use Google Analytics to collect usage information about our website. You can learn more about Google’s practices at https://policies.google.com/privacy and opt out of Google Analytics using Google’s opt-out tools or your browser settings.

We may also use advertising technologies to show retargeting or interest-based ads to people who have visited our website or interacted with our Services. These technologies may collect identifiers such as cookies, device information, or IP address to recognize your browser or device across websites and apps. We do not sell your personal information for money, but this type of advertising may be considered “sharing” under certain privacy laws.

Most browsers allow you to control cookies through settings. You can also use industry opt-out tools offered by advertising platforms. Disabling cookies may affect certain website functionality.

7. Security

We implement reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, or alteration. However, no method of transmission over the Internet or electronic storage is completely secure, and we cannot guarantee absolute security.
